Davidson Center Schooling Withdrawal Policy

Purpose

This Withdrawal Policy establishes the financial and administrative requirements that apply when a student withdraws from Davidson Center. Davidson Center requires that all scheduled sessions and financial obligations owed under the family’s enrollment agreement be paid by the family, regardless of whether tuition, tutoring, or other services are funded in whole or in part by any third party, grant, scholarship, reimbursement program, or other outside entity, including the North Carolina Education Student Accounts (ESA+) program administered by NCSEAA.

Family Financial Responsibility

By enrolling a student at Davidson Center, the family accepts full responsibility for payment of all tuition, tutoring fees, session fees, assessments, materials, and any other charges due under the Center’s policies, schedules, or enrollment agreement. Any outside funding source is considered a supplemental payment resource only and does not replace, reduce, or limit the family’s direct responsibility to Davidson Center.

If an outside entity delays payment, denies payment, reduces payment, reverses payment, seeks recoupment, or determines that funds must be returned for any reason, the family remains fully responsible for all amounts owed to Davidson Center. This includes, without limitation, funding connected to ESA+, Opportunity Scholarship administration, scholarships, educational grants, reimbursements, or any similar public or private funding source.

Notice of Withdrawal

A family choosing to withdraw a student from Davidson Center must provide written notice to the Center. Withdrawal is effective based on the student’s last date of attendance, participation, or scheduled service date as determined by Davidson Center records, attendance records, submitted work, and staff documentation.

Davidson Center may also treat a student as withdrawn if the student stops attending or participating and the family does not respond to communication attempts within a reasonable period.

Payment Obligation Upon Withdrawal

Withdrawal from Davidson Center does not eliminate or reduce any balance already due or any charges owed under the Center’s enrollment terms. The family is responsible for all sessions reserved for the student and all charges due under the applicable tuition or service agreement, even if the family expected payment from an outside funding source.

If Davidson Center is required to return funds to a third-party funding program after a student withdraws, the family remains responsible for immediate repayment to Davidson Center of any amount not retained by the Center. Any refunded, reversed, or clawed-back amount becomes immediately due from the family upon notice.

NC Scholarship and ESA+ Funding

When a student participates in a North Carolina scholarship or funding program, including the NC Education Student Accounts (ESA+) program, the family remains solely responsible for the student’s account with Davidson Center. NCSEAA’s K12 scholarship withdrawal process requires participating schools to submit withdrawal information within 10 school days and, when applicable, return program funds within 30 calendar days of the student’s withdrawal date.

NCSEAA states that this K12 program withdrawal policy applies regardless of a nonpublic school’s own withdrawal or refund policies, and returned funds must be sent to the K12 Programs rather than to the parent.​

The NC State program withdrawal process is separate from, and does not replace, Davidson Center’s own withdrawal policy, tuition policy, payment deadlines, or family financial obligations. A family must comply with both: (1) Davidson Center’s internal withdrawal and payment requirements, and (2) any separate NCSEAA or other program procedures applicable to scholarship-funded students.

No Waiver by Outside Funding

Davidson Center’s acceptance of payment from any outside source does not create a contractual relationship between Davidson Center and that funding source in place of the family. It also does not waive the family’s responsibility for unpaid balances, late payments, returned payments, disputed charges, or amounts later deemed ineligible by the outside entity.

Records and Administrative Authority

Davidson Center may rely on its own attendance records, session logs, communication records, and internal documentation to determine a student’s withdrawal date, outstanding balance, and amounts owed. The Center reserves the right to suspend services, withhold future scheduling, or pursue collection of unpaid balances to the extent allowed by law and the family’s enrollment agreement.
